Position Summary

This position is based in the Hong Kong office and is a key member of a growing team, supporting the fundraising, operations and communications functions. Working as part of a global team of 10 fundraising staff across 5 countries, there is also the opportunity to work with and gain exposure to our global fundraising and communications activity. The Assistant will support the work of both Development Managers in Hong Kong and Singapore – reporting to one and also working closely with the other.

This position is key to EMpower’s achievement of its mission. By contributing to fundraising needed to make grants and provide other value-added supports to local grantee partners, this position directly contributes to reaching and engaging more young people so their futures are brighter.

Primary Responsibilities

The duties that follow represent the primary responsibilities for this role. All employees are responsible for performing other duties as assigned. Primary responsibilities for this role include the following:

Development:

  • Assist manager in the execution of flagship face-to-face or online EMpower fundraising events in Hong Kong and Singapore
  • Support manager in the maintenance of donor records database using Salesforce and applying analytical skills in data mining of Salesforce information by triaging it with other internal reports for accuracy
  • Assist donors in the donation process through various payment channels in Hong Kong and Singapore
  • With the guidance of manager, conduct detailed and methodical research to source for prospects and leads across all revenue generating markets and types of funding (individual, corporates, foundation and institutions) which could be in the form of grant funding, sponsorships or general support funding (e.g. underwriting
  1. Support manager in stewardship with board members, donors, and prospects. Responsibilities include but are not limited to research and preparation before meetings or conference calls;
  2. Compiling email updates, proposals, and reports, etc.; and
  3. Leading conversations with smaller donors and prospects. This duty usually requires coordination with program team members in Hong Kong and India.
  • Support manager in executing outreach events (e.g., webinars, brown-bag sessions, corporate fundraisers). This duty usually requires coordination with program team members in Hong Kong and India.
  • With the guidance of manager, conceptualize and execute new activities to expand our outreach and brand awareness
  • Coordinate with development and communications team members, based in India, the UK, and the US, in global fundraising initiatives

Operations:

  • With guidance from the finance team, administer reporting of donations and expenses related to HK and Singapore office (this includes donations record keeping, book keeping, accounts payable and documentation support for external audits)
  • Perform administrative duties (such as collecting directors’ signature, managing petty cash, filing system, purchasing office supplies), contact with authorities and service providers (such as company secretaries, auditors, banks, government departments, landlords, and various suppliers) and other tasks necessary for efficient office operations
  • Assist in logistical support (such as arranging meetings, taking minutes, assistance in travel arrangements)

Communication:

  • With guidance from manager and the VP, Global Communications, develop stream of news items to profile EMpower’s work in Asia through our online media platforms
  • Support manager in updating materials and, under guidance, tailor existing communication materials for specific donor base.

Education, Knowledge, Skills, and Abilities

The Development and Operations Assistants supports fundraising efforts to improve the lives and horizons of marginalized young people ages 10-24 in emerging market countries. The education, knowledge, skills, and abilities for this position are as follows.

  • At least 2 year’s work experience in an office environment, ideally in philanthropy or the nonprofit sector
  • Bachelor’s Degree preferred but not required
  • Strong English, Mandarin and/or Cantonese written and oral communication skills. Willing to pick up Cantonese language if not a native speaker
  • Commitment to EMpower’s mission, interest in youth development and/or effective global philanthropy
  • Strong interpersonal and communication skills with culturally diverse audiences and different personalities.
  • Proficiency in Microsoft Office Applications and comfortable with learning new database technology. Experience using Salesforce and Content Management Systems is a plus.
  • Experience in managing and mentoring staff, able to work virtually with a team across multiple time zones (requiring some morning/evening calls), and demonstrated capacity for effective teamwork.
  • Strong interpersonal and communication skills with culturally diverse audiences with strong personalities, including solid public presentation and writing skills.
  • Ability to control and handle information that is confidential and time-sensitive.
  • Ability to work with quantitative information such as budgets and excel spreadsheets.
  • Ability to work with a small team in a dynamic environment.
